For the purposes of this Policy, references to “Foxhound”, “we”, “us”, and “our” mean Foxhound AI PTY LTD and the operator of the Foxhound website, software, and related services. 2. Scope of this Policy

- users of Foxhound software, documentation, or deployment materials we make available;
- people who contact us, join a waitlist, request support, or interact with us;
- customers, trial users, and authorised users of any hosted or paid Foxhound service;
- prospective customers, contractors, and service providers who deal with us.
3. Information we may collect
- identity and contact details such as name, email address, company name, and job title;
- account and authentication information such as login credentials, profile information, and account preferences;
- billing and commercial information such as invoices, payment status, subscription details, transaction records, and limited payment-related information provided through Stripe;
- technical and usage information such as IP address, browser type, device information, session logs, product usage events, diagnostics, and support interactions;
- service data submitted to or processed by a hosted Foxhound service, which may include traces, run metadata, logs, prompts, outputs, tool-call data, configuration data, and related operational records;
- communications you send to us, including support requests, emails, forms, and waitlist submissions;
- publicly available information, such as GitHub usernames or public issue/discussion content where relevant.
4. Self-hosted software vs hosted services
Foxhound may include software that users can self-host and operate on their own infrastructure. If you self-host Foxhound, we generally do not automatically receive the traces, prompts, outputs, or operational data that stay within your own environment unless you separately send information to us, use a hosted service, ask for support, or enable a feature that transmits data to us.
For account data, website interactions, billing records, and our own business operations, Foxhound AI PTY LTD generally handles information for its own purposes. For customer service data processed through a hosted Foxhound service, we may process data on behalf of customers, subject to the applicable customer agreement and any data processing addendum.
If you use a hosted, managed, paid, or support-related Foxhound offering, we may process service data on your behalf or for our own legitimate business purposes as described in this Policy and any applicable customer agreement.
5. How we collect information
- directly from you when you sign up, contact us, request support, join a waitlist, or use the website;
- automatically through website, product, security telemetry, server logs, session technologies, and cookies or similar technologies where used;
- through third-party providers such as Stripe, authentication providers, hosting providers, or analytics providers;
- through public repositories, issue trackers, and community channels where you interact with the Foxhound project.
6. Cookies, analytics, and similar technologies
Foxhound may use cookies, session storage, similar client-side technologies, and analytics or product telemetry tools to keep the website and services functioning, authenticate sessions, improve reliability, understand product usage, protect the service, and measure performance.
Depending on the services enabled from time to time, this may include essential authentication/session technologies, infrastructure logging, and analytics or product instrumentation tools. You can usually control cookies through your browser settings, although some service features may not work correctly if essential cookies are disabled.
7. Why we use personal information

- hosting, infrastructure, database, observability, analytics, email, authentication, and payment service providers, including Stripe where used for commercial transactions;
- professional advisers such as lawyers, accountants, insurers, or auditors;
- contractors and service providers engaged to help us operate the business;
- law enforcement, regulators, courts, or government agencies where required or permitted by law;
- a purchaser or successor in connection with a merger, acquisition, asset sale, financing, or business restructuring.
10. International users and overseas disclosures
Foxhound is operated from Australia, but users may be located anywhere in the world. Personal information may be processed in Australia and in other countries where our service providers, infrastructure providers, or customers operate.
By using the website or services, you acknowledge that information may be transferred to, stored in, or processed in jurisdictions outside your own, subject to the safeguards and contractual arrangements we consider appropriate in the circumstances.
11. Data retention
We retain information for as long as reasonably necessary for the purposes described in this Policy, including to provide services, maintain records, resolve disputes, comply with legal obligations, enforce agreements, and protect our interests.
Retention periods may differ depending on whether the information relates to website enquiries, support, billing, hosted usage, security events, or self-hosted customers.
12. Security and incident response
We take reasonable steps to protect information from misuse, interference, loss, unauthorised access, modification, and disclosure. Those steps may include access controls, authentication controls, encryption, backups, network protections, logging, vendor review, and process controls.
No system is completely secure. You are responsible for protecting credentials, securing self-hosted deployments, and using appropriate internal controls where you run Foxhound on your own infrastructure.
Where we become aware of a security incident affecting personal information in a hosted service environment, we may investigate, contain, remediate, and notify affected parties or customers as we consider appropriate or as required by law or contract.
13. Access, correction, deletion requests, and complaints
You may request access to personal information we hold about you, request correction of inaccurate information, or raise a privacy complaint. We may need to verify your identity before acting on a request. In some circumstances, the law may allow or require us to refuse a request in whole or in part.
We will review requests and complaints within a reasonable time, subject to the nature of the request, identity verification, technical feasibility, contractual limitations, and legal obligations.
If you are in Australia and are not satisfied with how we handle a privacy complaint, you may have the right to complain to the Office of the Australian Information Commissioner.
14. Subprocessors and service providers
Foxhound AI PTY LTD may engage subprocessors, infrastructure providers, analytics providers, payment processors, support tools, and other service providers to operate the business and the hosted service.
As Foxhound’s commercial offering matures, we may publish a separate subprocessor list or service-provider disclosure page and update it from time to time.
15. Data processing addendum and enterprise customers
For eligible hosted customers, Foxhound AI PTY LTD may make a data processing addendum available where required for the relevant service relationship, subject to commercial qualification and agreement on the applicable terms.
16. Children
Foxhound is not intended for children under 18. If you believe a child has provided personal information to us without appropriate authority, contact us so we can review and address the issue.
17. Changes to this Policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised effective date. Your continued use of Foxhound after an update may be treated as acceptance of the updated Policy to the extent permitted by law.
